Uploaded Content
When you upload files to Freedam, we process and store your digital assets along with associated metadata:
- Files, images, videos, and documents you upload
- Metadata extracted from files (EXIF, IPTC, XMP data, GPS coordinates)
- AI-generated tags, captions, and descriptions
- Face detection data for people recognition
- Text extracted from PDF documents
- Preview images and thumbnails generated from your files
Your Uploaded Content remains yours. We do not claim ownership of any content you upload. AI processing is performed to enhance your asset management experience and the results are only accessible to you and your authorized team members.
Usage Data
We may also collect information that your browser sends whenever you visit our Service. This may include your computer's Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our Service that you visit, the time and date of your visit, the time spent on those pages, unique device identifiers and other diagnostic data.
Cookies Data
We use various first-party cookies to operate our Service. Cookies are files with a small amount of data which may include an anonymous unique identifier.
We do not use any third-party tracking cookies on Freedam.
Freedam uses the collected data for various purposes:
We will retain your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your Personal Data to the extent necessary to comply with our legal obligations, resolve disputes, and enforce our legal agreements and policies.
Your Uploaded Content (digital assets and associated metadata) is retained for as long as your account is active. When you delete assets or your account, the associated files and processed data (AI tags, previews, extracted text) will be permanently removed.
Usage Data is generally retained for a shorter period, except when this data is used to strengthen the security or to improve the functionality of our Service, or we are legally obligated to retain this data for longer time periods.
Your information, including Personal Data and Uploaded Content, may be transferred to and maintained on computers located outside of your state, province, country or other governmental jurisdiction where the data protection laws may differ from those of your jurisdiction.
Your consent to this Privacy Policy followed by your submission of such information represents your agreement to that transfer.
Freedam will take all the steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy and no transfer of your Personal Data will take place to an organisation or a country unless there are adequate controls in place including the security of your data and other personal information.

- All uploaded files are scanned for viruses upon ingestion
- Data is encrypted in transit using TLS
- Access controls and permissions ensure only authorized users can access your assets
- Audit trails track access and changes to your content
While we strive to use commercially acceptable means to protect your Personal Data and Uploaded Content, no method of transmission over the Internet or method of electronic storage is 100% secure. We cannot guarantee absolute security.

Your Role and Ours Under GDPR
When your organization uses Freedam to manage digital assets, we act as a data processor, while your organization serves as the data controller.
Your Organization (Controller)
- Ensure consent and legal basis for uploading content containing personal data
- Inform individuals about AI processing features such as face detection
- Respond to privacy requests from individuals in uploaded assets
Freedam (Processor)
- Only process data on your behalf, per your instructions and our agreement
- Protect your data with strong technical and organizational safeguards
- Assist with data access or deletion requests as needed
If you are a California resident, you are entitled to learn what data we collect about you, ask to delete your data, and not to sell (share) it.

Freedam is software that can be self-hosted. If you run Freedam on your own infrastructure:
- All data (Personal Data, Uploaded Content, and Usage Data) remains entirely on your own servers
- We do not collect, access, or process any data from self-hosted instances
- You are the sole Data Controller and are responsible for compliance with applicable data protection laws
- Third-party AI services used by self-hosted instances (if configured) are subject to their own privacy policies
This Privacy Policy applies only to our hosted service, not to self-hosted deployments.
Our Service may contain links to other sites that are not operated by us. If you click a third party link, you will be directed to that third party's site. We strongly advise you to review the Privacy Policy of every site you visit.
We have no control over and assume no responsibility for the content, privacy policies or practices of any third party sites or services.
Our Services are not intended for use by children under the age of 18 ("Child" or "Children").
We do not knowingly collect personally identifiable information from Children under 18. If you become aware that a Child has provided us with Personal Data, please contact us. If we become aware that we have collected Personal Data from Children without verification of parental consent, we take steps to remove that information from our servers.
