Three ways in
Most visitors just want to browse and download. Offer a public portal, a protected link or a sign-in, depending on how sensitive the files are. Nobody needs an internal account to get the files they came for.
Useful for material you are happy for anyone to find, such as logos, press images and brand guidance. Visitors can browse and download without creating an account.
A launch pack or agency selection can travel through a public or password-protected link, with an expiry date, an email allowlist and the download choices you set.
When access needs to follow named people or groups, signed-in visitors can see the collections and assets made available to them.
When a file is updated
A new file version becomes current while its product details, collections, rights and existing share links remain attached to the asset.
The team can move material through its approval workflow, then place the approved asset in the public collections and pages visitors browse.
If a licence expires or an audience should no longer receive the original, access rules can change what remains visible, downloadable or available by request.

Every night Freedam reviews the activity and suggests what to fix: content gaps behind zero-result searches, unused or declining assets, missing variants and weak metadata, ranked by priority.

It is a curated, read-only front door to approved assets, public collections, custom published pages, and the brand guide. It does not expose private collections, editing tools, version history, or the whole internal workspace to visitors.
Yes. The Public Portal can let visitors browse published pages, public active collections, the gallery, and the brand guide without an account. Guest asset rules control visibility, previews, watermarks, downloads, and requests.
External share links can be public or password-protected and can carry expiry dates, email allowlists, and download controls. Account-based roles and user groups are available for audiences that sign in.
Replacing an asset file creates a new current version while retaining its metadata, collections, rights, and share links. Published collections and live shares therefore continue to point at the governed asset rather than an emailed copy.
