Organize and describe your assets

Freedam processes and tags each upload, then gives you metadata fields, vocabularies, rules and collections to describe and file assets the way your team works.

A Team or Business label marks the lowest plan that includes a feature; the others are on every plan, Free included.

Uploads processed for you

Drop files or whole folders. Large files are sent in resumable chunks, then each file is virus scanned, read for EXIF and IPTC data, previewed and analyzed by AI. The batch page shows the current step of each file and lists failed files with the reason.

AI tags and captions

One analysis of each image returns 15 to 20 tags, a caption of one to three sentences, the visible text and the best matching asset class. The results are searchable and editors can correct them. The AI does not change titles, descriptions or your own metadata fields.

Duplicate detection

An upload that matches an existing file is flagged as Exact Duplicate or Similar, with a side-by-side and overlay comparison. You keep both, replace the existing file or delete the upload. Administrators can scan the whole library or a filtered part and move the extra copies to the trash.

Metadata fields and forms

Each asset class has its own fields: text, long text, number, decimal, date, yes or no, and vocabulary. Fields can be required, multilingual, sensitive or used to link assets. Form Studio arranges them in sections of one to three columns, with a preview for desktop, tablet and phone.

Controlled vocabularies

Administrators build flat lists or hierarchical trees of terms, reorder them and merge duplicate terms into one. Terms can be translated automatically into the active languages. A vocabulary field can depend on another, so a City field only offers the cities of the chosen Country.

Field rules

Rules use if and then logic to show or hide a field, make it required or optional, or show a custom validation message, based on the values of other fields. Rules have priorities, can be switched off without being deleted, and can be tested in Form Studio.

Metadata from filenames

A rule matches filenames with a pattern and writes each captured part to a core field, such as the title, or to a custom metadata field. Rules run at upload and never overwrite existing values. Give the AI a sample filename and a plain description, and it writes the pattern and mappings.

Bulk metadata editing

Select up to 10,000 results, queue up to 50 operations, review them, and Freedam applies them in the background with progress in the Task Center. When the selection mixes asset classes, each operation says how many assets have the field. An asset where an operation fails is left unchanged and reported.

Spreadsheet view

Open up to 500 selected assets in a grid with one row per asset and one column per field. Each cell saves when you leave it, Ctrl+D fills a value down, and a filter shows only rows with empty cells, missing required fields or errors.

Collections

Collection types set by administrators decide which metadata a collection shows, how deep it nests and what each level is called. The classic page shows a tree you can reorder by drag and drop. The new pages, in preview, show one page of picture tiles per level with a breadcrumb.

Collection rules

Administrators set conditions on file properties and metadata, and matching assets are filed into a collection during upload. A path template with placeholders such as the year, the month or part of the filename can create missing collections at each level. A tester shows which collections a sample file would use.

My collections

Folders hold your collections and appear as shelves you can reorder and fold. Each card states who can see it, such as Only you or You + 3, and what colleagues shared with you. Save to adds files to one of your collections from a file, a selection or a collection page.

Bookmarks

Bookmark an asset from its card or its page. The Bookmarks page lists them by bookmark date, title or asset date, and only you see it. Ticked bookmarks get the same selection bar as the gallery, with download, share and add to collection.

Versions

Upload new version replaces the file and keeps the previous one in the History tab, with who created each version and their note. Earlier versions can be downloaded or restored, and restoring keeps a copy of the current file. The new file is analyzed by AI again.

Linked assets

A field marked for asset linking connects every asset that shares a value, such as the same SKU. Editors can also link assets by hand under a link name. The asset page shows each link as a band of thumbnails that you can open or select.

Attachments

Each attachment has a type, such as Model Release or Contract, and can be added to many assets at once. A public attachment is visible to everyone who can see the asset. A private one is limited to its uploader, the asset owner and user managers.

Video posters and subtitles

Choose the poster from four frames taken at 10, 25, 50 and 75 percent of the video, capture any frame, or upload a cover image. Add SRT or VTT subtitle tracks per language and mark one as the default. The tracks play in the player and their text is searchable.

Adaptive video streaming

After upload, each video is encoded as an HLS stream in several qualities, and the player switches between them to suit the viewer's connection. Streaming is on by default and also serves videos played from a share link.

Transcripts

Speech in video and audio files up to two hours long is transcribed by a model that runs inside Freedam, and stored as a subtitle track. Edit it cue by cue against playback, download it as VTT, SRT or TXT, or translate it. Spoken words become searchable.

Translation and glossary

In a multilingual field, Freedam translates your text into the other workspace languages when you leave the field. Existing translations are not overwritten: you choose to replace or keep them. The glossary lists terms to keep verbatim or translate a set way, and it also guides the spelling in transcripts.

Automation rulesBusiness

A rule runs on upload, on update or both, and checks conditions on file properties and metadata. When they match, it can set metadata, add tags, assign a collection, notify users or set a workflow state. One rule can run several actions, and rules run in priority order.

Trash

Deleted assets stay in the trash for 30 days and are then removed automatically. Administrators can search the trash, filter it by asset type or by who deleted the asset, restore assets to their original location, or delete them permanently.
