My Collections
My collections is your personal space. Use it to keep the files you need for a campaign, a presentation or a shortlist. Everything in it is private until you share it.
It works with two simple things:
- A collection holds files.
- A folder holds collections. Folders have one level: a folder never goes inside another folder, and a folder holds no files.
Preview. The new collections pages are in preview next to the classic page. To switch, open Collections and click Try the new collections in the banner at the top. To return, click Back to the classic page in the same banner. The classic page is described in Collections.

Open My collections
Click the control with your picture and [Your first name]'s collections. It sits in the header of every collections page, next to the search box.
The top of the page shows how many folders, collections and saved files you have. It also holds a Filter by name box, Select, New folder and New collection. The two New buttons appear when your role lets you create collections.
Shelves and folders
Each folder is a shelf: a row of cards, one per collection.
- The shelf heading shows the folder name and its counts.
- Rename, Share and Delete sit on the shelf, with a handle to drag the shelf up or down. The shelf menu also offers New collection here, Move up and Move down.
- Click Close the shelf to fold a shelf to one line of tiny covers. Click Open the shelf to unfold it.
- Freedam remembers which shelves are open and the order of your shelves.
Sharing a folder shares the collections in it.

Cards and the sharing line
A card shows a small mosaic of the first three images of the collection, or its cover. Under the name, it shows the number of files and a sharing line in plain words:
| Sharing line | It means |
|---|---|
| Only you | Nobody else sees this collection. |
| You + 3 | You shared it with three colleagues. |
| From Alex, view only | Alex shared it with you. You can view, download, comment and follow. You cannot change it. |
A small link icon next to the sharing line means Link sent outside: a link to this collection is live outside your organisation.
Click a card to open the collection page. The card menu offers Move to, Rename, Share and Delete on your own collections.
Not in a folder
Collections that are in no folder sit on the Not in a folder shelf. When every collection is filed, the shelf says so.
The folder list
The Folders list at the side shows every shelf with its count. Click a name to scroll to its shelf. While you drag a card, the names in the list are drop targets too. On a small screen the list is folded: click it to open it.

Waiting for you
When a colleague shares a collection with you, it arrives on the Waiting for you shelf. You decide what to do with it:
- Keep and file in: pick one of your folders, or Not in a folder. The collection moves to that shelf. It stays view only: its sharing line reads From [name], view only.
- Not now: the collection leaves Waiting for you. It stays shared with you.

Following
The Following shelf lists the catalogue collections you follow, so you can get back to them quickly. Manage notifications opens your notification settings.
To follow a collection, open it in the catalogue and click Follow.
Create a folder or a collection
New folder
- Click New folder.
- Type a Name, and a Description if you want one. The dialog reminds you: "This creates a folder in My collections. A folder holds collections, not files."
- Click Create folder.
New collection
- Click New collection at the top of the page, or New collection here in the menu of a shelf to create it in that folder.
- Type a Name, and a Description if you want one.
- Click Create collection.

Organise
There are two ways to organise, and every drag has a click route.
By drag
- Drag a card to another shelf, or onto a name in the Folders list.
- Drop it on Not in a folder to take it out of its folder.
- Drag a shelf by its handle to change the order of the shelves.
- With the keyboard: press Space or Enter to pick up a card, use the arrow keys to reach a shelf, press Space or Enter to drop, Escape to cancel.
By Select and the bar
- Click Select, then tick the cards.
- Use the bar at the bottom:
| Action | What it does |
|---|---|
| New folder with these | Creates a folder and files the ticked collections in it. |
| Move to | Files them in a folder, or in Not in a folder. |
| Share | Shares one collection of your own at a time. |
| Download | Downloads the files of the ticked collections. Files that need an access request are skipped, and a message says how many. For a very large collection, open it and use Download all there. |
| Delete | Deletes your own collections. See Delete rules. |
- Click Done to leave Select mode.

Save to
Save to is how files reach My collections. You find it anywhere in the catalogue:
- on a collection page, next to Download all, for collections you cannot edit;
- on a file, when you point at it;
- next to the count in Select mode, for the ticked files;
- beside the name of a chip opened in a picker.
- Click Save to.
- Pick one of your collections. Each one shows its sharing line, so you know who will see the files. Above eight collections, a filter box helps you find the right one.
- Or click New collection, type a name, and click Create and save. The sparkle button suggests a name from the descriptions of the files.
A message confirms how many files were saved, with an Open link to the collection. Files that were already there are counted apart and are not added twice.
Good to know:
- Save to on a collection saves everything under it. On a product with several colours, it saves the images of all its colours. You only get the files you may see.
- The limit is 5,000 files at once. Above it, nothing is saved and Freedam tells you: "This holds more than 5,000 files, too many to save at once. Open a level below it and save from there."
- Only your own collections are offered. Collections shared with you are view only.
- A file that needs an access request can be saved. You still need to request access before you download it.
- Saving does not copy a file. The same file is simply listed in your collection too.

To add files from the library instead, open your collection and click Add files. See the collection page.
Delete rules
- A collection is deleted once it is empty and no link sent outside is live. Otherwise the dialog lists what to remove first.
- A folder is deleted with the collections in it: the button reads Delete folder and its [N] collections.
- Only your own collections and folders can be deleted. A collection shared with you cannot: use Not now, or ask the person who shared it.
- Deleting cannot be undone. The files stay in the library.

Privacy
- Your folders and collections are private. Nobody else sees them until you share them.
- There is no public or private switch here: personal collections are never public.
- Sharing with colleagues is view only. They can view, download, comment and follow. They cannot add or remove files.
- You never see another person's folders.
