Share Links

A share link gives people outside your workspace access to a set of assets, without creating an account for them. You decide who can open the link, whether they can download, at which quality, and for how long.

To give colleagues who already use Freedam access to a collection, use an internal share instead. See Collections.

What you can share

You need permission to share assets. For a collection, you also need to be the person who created it, and it must be a shared collection: items under My Collections cannot be shared.

You can only share assets you can both see and download yourself. If a selection contains assets you cannot download, Freedam refuses to create the share and tells you how many assets are the problem.

Create a share link

1. Start a share from one of the places above. The dialog opens on Quick Share Options.

2. Pick a starting point. Every option opens the same form, pre-filled differently:

   Option	Starts with
   Public View	Anyone with the link, view only, no expiry.
   External Restricted Access	Only the email addresses you list, downloads allowed, expires in 7 days.
   Custom Settings	Anyone with the link, view only, no dates.
   Internal Share (collections only)	The internal share form, for Freedam users and groups.

3. Adjust the settings described below.

4. Click Create share.

5. Freedam checks the usage rights of every asset. If some cannot be shared with the access you chose, the Some assets will be hidden dialog explains which, and lets you continue with the visible ones. See When rights hide assets.

6. On Share Created Successfully!, click Copy to copy the link, or Open to see it as a recipient would.

Settings

Custom URL

By default a link ends with a random code. To make it readable, fill in Vanity URL (optional), for example spring-press-kit. Only lowercase letters, numbers, dashes and underscores are kept; spaces become dashes. Each custom URL can only be used once in your workspace.

Start and expiry dates

• Start Date (optional): the link does not open before this date and time. Recipients who try earlier see "Share Not Available".
• Expiration Date (optional): the link stops working after this date and time. It must be later than the start date. Leave it empty for a link that never expires.

Dates use your computer's time zone.

Access control

Choose one of three kinds of access:

Access	Who can open the link
Public Access	Anyone who has the link. No sign-in.
Email Restricted	Only people who enter an address you listed. Add addresses under Allowed Email Addresses, and whole company domains such as acme.com under Allowed Domains (optional). You need at least one of the two.
Password Protection	Anyone who enters the password. Type one of at least 6 characters, or click Suggest and then Use This Password.

For Email Restricted shares, Freedam emails each listed address an invitation titled "[your name] shared content with you", with a View Shared Content button. Domains receive no email: send the link yourself. Recipients are not sent a code; they type their address to get in. Addresses and domains are not case-sensitive: [email protected] and [email protected] are the same recipient.

For Password Protection, Freedam does not send the password. Share it with recipients separately, ideally through a different channel than the link.

Permissions and download quality

View Access is always on. Turn on Download Access to let recipients download, then choose a Download Quality:

Quality	What recipients get
Original Quality	The files exactly as uploaded.
High Quality (recommended)	Images up to 1024 pixels on the long edge.
Low Quality	Images up to 256 pixels on the long edge.
Watermarked	Originals with a watermark applied. Choose the watermark under Select Watermark.

When recipients download several assets at once, they can pick a smaller size than the one you allowed, never a larger one.

When you choose Watermarked, pick a watermark in Select Watermark: the share cannot be created without one. The list is empty until an administrator creates watermarks, see Watermarks. Watermarks may not be included in your plan.

Watermarks only apply to images. In a watermarked share, videos, audio files and PDFs are listed but cannot be previewed or downloaded, so share those separately.

When rights hide assets

Assets can carry usage rights that restrict who may see them, for example "internal use only". When you click Create share, Freedam checks every asset against the access you chose.

• Some assets are blocked: the dialog shows how many are visible and blocked, and lists the blocked ones. Click Share [N] Visible Assets to create the link without them, or Cancel to change your settings.
• All assets are blocked: the dialog says so. You can still click Create Share Anyway, but recipients will see an empty share.
• A different access would help: for a public share, the dialog may suggest switching to email-restricted access, which some rights allow. Click Switch to [access] to change it.

A share is a live view of its assets. If rights change after you create it, recipients see the new state the next time they open the link. To hand over a fixed set of files, download them as a ZIP and send that instead.

Manage your share links

Freedam does not have a single list of all your share links. Where you manage a link depends on what you shared:

• Collection shares: open the collection and click View Shares in its header. The Collection Shares panel has an Internal tab and an External tab. Only the person who created the collection can open it.
• Asset and selection shares: ask an administrator. They are listed in Administration → Shares Management. See Shares Management.

On the External tab, each link shows its access type, status, number of views and downloads, and a menu of actions:

Status	Actions
Active	Change Expiry, Pause, Revoke
Scheduled	The start date is in the future.
Expired	Extend Expiry, Activate
Revoked or Paused	Activate

• Change Expiry or Extend Expiry opens Update Expiry Date. Pick a new date, or leave the field empty to remove the expiry.
• Pause stops the link for now, for example while you replace some files. Recipients who open it see "Share Unavailable", and nobody is emailed.
• Revoke stops the link at once. Recipients who open it see "Share Unavailable" until you activate it again. On an Email Restricted share, each listed address is told by email that access was revoked.
• Activate turns a revoked link back on. The link address stays the same, so people who already have it can use it again. For an expired link, set a new date with Extend Expiry: activating alone does not change the expiry.

Good to know

• Recipients never need an account. They open the link in a browser. See Receiving a Share for what they see.
• Email-restricted recipients are kept informed. Each listed address gets an email a day before the link expires, when you revoke it, and when you change something that affects them: the start or expiry date, downloads, download quality, the watermark or the password. Pausing sends nothing, and people who only match an allowed domain are never emailed.
• You are not notified when someone opens a link. Views and downloads are counted on the External tab. Integrations can receive them as share.accessed events, see Webhooks.
• Access lasts a day per browser. After entering a password or email address, a recipient stays signed in to that share for 24 hours on that browser.
• Wrong passwords are limited. After 5 failed attempts from the same network, the share refuses new attempts for 5 minutes.

Troubleshooting

The Share button is missing

• You may not have permission to share. Ask an administrator.
• On a collection, only the person who created it can share it, and My Collections can never be shared.

"Share creation blocked: N asset(s) in this share are not accessible with your permissions."

Some selected assets are visible to you but not downloadable. Remove them from the selection, or ask an administrator for download access.

"This custom URL is already taken. Please choose another."

Another share already uses that custom URL. Choose a different one, or leave the field empty for a random link.

A recipient cannot get in to an email-restricted share

Check that they type the same address you listed (capitalisation does not matter), or add their company domain under Allowed Domains.
