Managing the Catalogue

This page is for people whose role lets them create, edit or delete collections. If yours does not, you see none of these controls, and there is nothing to set up.

The controls appear where you stand. You create a collection from the page that will hold it, and you arrange a level from the page of that level.

Preview. The new collections pages are in preview next to the classic page. To switch, open Collections and click Try the new collections in the banner at the top. To return, click Back to the classic page in the same banner. The classic page is described in Collections.

Create a collection

On a page where you may create, you see a New button next to the heading and a dashed tile at the start of the tiles. Both carry the name of the level you are about to create, for example New range or New product. In a catalogue without level names they read New collection.

1. Open the page that will hold the new collection.
2. Click New [level name], or the dashed tile.
3. Check the Where line. It shows the place taken from the page you are on.
4. Type a Name, and a Description if you want one.
5. Fill in the details of the level, when it has some. They show in a second column.
6. Click Create [level name].

The level statement

The dialog says what you are creating, so there is no surprise later. For example:

This creates a Product, level 3 of 4 in Product catalog. A Product holds Colour collections, not files.

The second sentence tells you what the new collection will hold: files, other collections, or both.

Change the place

Click Change next to Where to pick another place. Only places where you may create are offered: the same type, a level that takes collections, owned or managed by you. Type a name to filter the list. Click Keep this place to go back.

The collection type is set by the place. It cannot be changed after creation.

When New is missing or inactive

• No New button: the level is the last one, or it takes no collections inside it. It can also mean that the collection type is inactive, or that your role does not include creating collections.
• New is shown but inactive: you may create elsewhere, not here. The button explains: "Only the owner of [name] or a collections manager can add here."

Tile actions

Point at a tile, or reach it with the keyboard, to see its actions. Quiet rows, the collections without pictures, carry the same actions.

Action	What it does
Edit [name]	Opens the name, the description and the details of the collection. Click Save when you are done.
New [level name] in [name]	Creates a collection inside the tile, without opening it first. Shown when that level takes collections.
Delete [name]	Opens the delete dialog. See Delete.

You only see the actions you may use on that collection.

Arrange a level

Arrange changes the order of the collections of one level. It sits next to the New button.

1. Open the page of the level and click Arrange.
2. Drag the collections into the order you want. With the keyboard: focus one, press Space, move it with the arrow keys, press Space again.
3. Click Save order. Click Cancel to leave the order as it was.

The whole order is saved at once. Arrange only reorders: to put a collection somewhere else, use Move to.

Arrange is not possible in these cases, and the dialog says why:

• The collections are named by year or date. They are sorted newest first.
• Some collections of the level are neither yours nor managed by you.
• There is only one collection.

Move to

1. Open the collection and click More, then Move to.
2. Pick the new place. Type a name to filter the list.
3. Click Move here.

Only places that keep the collection at the same level are offered. A product can move to another range, not under a category. The list explains the places it cannot offer, for example "This is where it is now", "This place is on another level" or "A collection cannot go inside itself".

If the move is still refused, the dialog shows the exact reason.

Delete

Delete a collection from its tile, or from More, then Delete collection on its page.

A collection can be deleted once it is empty. When it still holds something, Delete is inactive and the dialog lists what is in the way:

Blocker	What to do
[N] collections inside it	Move or delete them first. The link opens the collection.
[N] files	Remove them from the collection first. The link opens its files. The files stay in the library.
[N] active links sent outside	Pause or revoke the links first. The link opens the Sharing tab.

Deleting a collection cannot be undone. It never deletes the files themselves: they stay in the library.

Imported collections

Some collections are created by an import and belong to their source. The edit, move and delete dialogs warn you under From an import:

• Edit: "The next import may undo a change made here. Change it in the source."
• Move: "The next import may move it back. Move it in the source."
• Delete: "The next import may create it again. Remove it from the source."

Freedam warns and does not block.
