The Collection Page

Every collection that holds files opens on the same page, in the catalogue and in My collections. The cover and the main actions are at the top. The files are below. A side panel holds the details, the comments, the attachments and the sharing.

Preview. The new collections pages are in preview next to the classic page. To switch, open Collections and click Try the new collections in the banner at the top. To return, click Back to the classic page in the same banner. The classic page is described in Collections.

The top of the page

Cover

The top of the page adapts to the cover picture.

  • A square or upright cover is shown whole, beside the title, on a soft background tint.
  • A landscape cover fills a wider frame beside the title.
  • A very wide, large cover becomes a banner across the page.
  • Without a cover, the title comes first, followed by a strip of the first four images.
  • Without any image, you see the title only, with a prompt to add files when you may add some.

Title and status line

Above the title, a small line names the level of the collection, for example Product. In your personal space it reads My collection, Folder, or Shared with you. Rename next to the title opens the name, the description and the details for editing, when you may edit.

When the collection is one of a few choices at the last level, for example the colours of one product, the other choices are listed under the title. Click one to switch. A colour dot shows next to a name when Freedam knows the colour.

Type inactive Your administrator switched off this collection type. Nothing new can be created in it.

Main actions

You only see the actions you may use.

Action What it does
Download all [N] Downloads every file of the collection. Files that need an access request are skipped, and a message says how many.
Share Opens the share dialog. See Share.
Add files Opens the library so you can pick files. Tick them and click Add to [collection name]: you come back to the collection. Files that are already in it are marked Already Added.
Save to Saves the files to one of your own collections. Shown on collections you cannot edit. See My collections.
Follow Sends you updates when the collection changes. Shown on collections that are not yours. Click Following to stop.
More Opens the menu with the other actions. See The More menu.

The toolbar

The toolbar sits above the files.

  • Search in this collection: finds files by title or file name.
  • File type: shows one kind of file, or All file types.
  • Sort: My order, Name, Title, Created, Updated or Size, Ascending or Descending. My order is the order set by hand in Arrange mode.
  • View: Grid or List, the number of Files per page (25, 50 or 100), Preview on hover, and a link to your Display preferences.
  • Arrange and Select, on the right. See below.

The grid keeps the shape of every picture: squares, upright and landscape images sit in rows of equal height. Videos show their duration. Documents are listed with their type and size. The list view uses the columns of your display preferences.

Sections and jump chips

Some collection types split their files into sections, for example Main image, Gallery, Videos and Documents. Sections come from the collection type. They are the same for every collection of that type.

  • Jump chips under the toolbar list the sections that hold files, each with its count. They stay in view while you scroll.
  • In a collection that fits on one page, a chip scrolls to its section. In a larger collection, a chip shows that section alone. Click All sections to come back.
  • Each section has Select all in [section], Download section, and Add here when you may add files.
  • Files without a section come last, under Other.
  • Search, file type and sort apply to every section. A section with no match folds away while a filter is on.
  • My order is set per section.
  • Empty sections are hidden from viewers. People who may add files see them with the note "No files in this section yet. Viewers do not see it."

When the cover is the only file of the main section, the top of the page stands in for that section. It is not repeated below.

On a file

Point at a file, or reach it with the keyboard, to see its actions:

  • Download, or Request access when the file needs an approval before download.
  • Share.
  • Bookmark.
  • Save to, to keep the file in one of your own collections.
  • Remove from collection, when you may remove files. The file stays in the library.

Click a file to open it. A file shows two badges at most on its picture, such as Processing. When some files on the page need an access request, a note above the files says how many.

Select mode

Click Select in the toolbar to work on several files at once.

  1. Tick the files. Ctrl + A (or Cmd + A) selects every file shown. Escape clears the selection.
  2. Click Select all [N] to select the whole collection, across pages.
  3. Use the bar that appears. It is the same bar as in the library, with Download, Share, and the other bulk actions your role and plan allow. In a collection where you may remove files, it also offers Remove from collection.
  4. Save to next to the count saves the ticked files to one of your own collections.
  5. Click Done to leave Select mode.

The bar shows the thumbnails of the files you ticked, so you can check the selection before acting.

The selection is the same one as in the Gallery and on asset pages:

  • Assets you picked elsewhere stay selected when you open a collection, and the files you tick here join them. Opening a collection does not switch it to Select mode; ticking a file does.
  • Remove from collection acts on the ticked files of this collection. Afterwards, only those files leave the selection; the rest of your picks stay.
  • Unticking the select-all checkbox in List view removes only the files shown here.
  • Escape and the X of the bar clear the whole selection.

Arrange mode

Click Arrange in the toolbar to put the files in your own order. You see it when you may reorder the files.

  • The page switches to the grid and clears any selection.
  • Drag a file to a new place. The change is saved as you drop.
  • With sections, drag a file into another section to move it there. Every section accepts a drop, empty ones included.
  • In a collection of several pages, you arrange the page you are on. Finish arranging to change page.
  • Click Done arranging to leave.

Your order is what people see under My order in the Sort menu. If a save fails, a message tells you and the files are reloaded.

The side panel

The side panel on the right has up to four tabs. Use Collapse the side panel to give the files more room: the panel folds to a narrow strip of tab names. Freedam remembers your choice. On a phone, the panel opens from the bottom of the screen.

Tab What it holds Who sees it
Details The description, the details of the level, the type and level, who made the collection, the last change, and the visibility. Edit details lets you change them. Everyone reads. Editing needs the right to edit the collection.
Comments The discussion about the collection, with mentions. Everyone who can see the collection, people it was shared with included.
Attachments Supporting files for the collection itself, such as a brief. They are not part of the files of the collection. People whose role may view attachments.
Sharing Shared with colleagues, Links sent outside, and the Page of the collection. People who may manage the sharing of the collection.

In the Sharing tab:

  • Shared with colleagues lists the people and groups. They can view, download, comment and follow. They cannot change the collection. Click Add people or groups to share with more colleagues.
  • Links sent outside lists each link with its state (Active, Paused, Expired, Scheduled or Revoked), its views and its downloads. For each link you can Copy link, Change expiry, Pause or Activate, and Revoke. Click New link to create one.
  • Page lets you Publish as a page, then Edit page and View live.

Share

Share opens the share dialog with four quick options:

Option Who gets access
With colleagues (view only) People or groups with an account, with an optional end date and message.
Public view Anyone with the link can look, without downloading.
Outside restricted Named emails or domains, download allowed, ends after 7 days.
Custom You set the link name, the dates, a password, the download quality or a watermark.

Sharing a collection also shares the collections inside it. The usage rights check and the consent step work as in the rest of Freedam. More about links in Share Links.

The More menu

More holds the actions you need less often. An action you may not use is simply absent.

Action What it does
Edit details Opens the Details tab in editing mode.
Change cover See below.
Move to Moves the collection. See Managing the catalogue.
New [level name] Creates a collection inside this one, when the level allows it. It reads New sub-collection when the level has no name.
Publish as a page Creates a page from the collection.
Notify me of changes On your own collections: sends you updates when the collection changes.
Visibility: make public or make private See below.
Pause or Resume See below.
Rules For administrators of collection rules: opens the rules of the collection.
Delete collection See Managing the catalogue.

Change cover

  1. Click More, then Change cover.
  2. Pick one of the images of the collection.
  3. Click Use as cover.

Click No cover to go back to the first image of the collection. The cover is also the picture of the tile in the catalogue.

Visibility

  • Public: every colleague who may browse collections sees the collection.
  • Private: only the person who made it, the people it was shared with, and administrators see it.

Personal collections are always private. They have no visibility control.

Pause and Resume

A paused collection is seen only by the person who made it. People it was shared with lose access until it is resumed.

  • On your own collection, Pause takes effect at once. The page shows a Paused notice with a Resume button.
  • On a collection that someone else made, pausing hides it from you too. Freedam warns you first: "You will no longer see it, and you will be taken one level up." Click Pause and leave to confirm. Only the person who made the collection can resume it.

Why something is not offered

Freedam tells you why when something is not possible. Most of the time, an action you cannot use is simply not shown.

What you notice Why
No Add files, no Follow, no Publish as a page, and no files area This level groups other collections and takes no files. The page says so, for example "A Range groups Product collections and takes no files. Files go in a collection further down."
No New button and no New [level name] in More This is the last level, or the level takes no collections inside it.
New is shown but inactive You may create elsewhere, not here. The button explains: "Only the owner of [name] or a collections manager can add here."
No New, Arrange, Edit or Delete anywhere Your role does not include managing collections.
A place is missing in Move to Moving there would break the levels. Only valid places are offered.
Type inactive tag, and no New Your administrator switched off the collection type. You can still browse it.
No Share, no Rename, no Add files on a collection shared with you Sharing with colleagues is view only. A note at the top says who shared it.
No visibility control in My collections Personal collections are always private.

Imported collections

A collection that comes from an import shows From import in its status line, and this warning: "This collection comes from an import. Renaming or moving it here will be undone by the next import. Change it in the source."

Freedam warns and does not block. The rename, move and delete dialogs repeat the warning for the action at hand.

Drop files to upload

Drag files from your computer onto a collection page. The page dims and reads Drop files to upload. Release to add the files to the collection. A message confirms that the upload started, and the upload banner lets you follow the progress.

A drop is never ignored. When it cannot be accepted, a message says why:

Message Why
"This collection was shared with you: you cannot add files to it." Sharing with colleagues is view only.
"Only the owner of this collection or a collections manager can add files here." You may not change this collection.
"A [level] groups [level] collections and takes no files. Files go in a collection further down." The level takes no files. A folder of My collections answers "A folder holds collections, not files."
"You do not have the permission to upload files." Your role does not include uploading.
"Finish arranging first." Arrange mode is on.

On a page that shows both collections and files, you can also drag ticked files from Select mode onto a collection tile. They are added to that collection. A tile whose level takes no files refuses the drop and says why.

Other states you may meet

  • Empty collection: people who may add files read "Drop files here, or add from the library." Viewers read "This collection is empty."
  • No match: when the search or the file type hides everything, click Clear search and file type.
  • Bulk operation in progress: a notice says that some files may not show the latest changes yet. The page refreshes when the operation ends.
  • Collection not found: a deleted collection and a collection you may not see look the same.
